Who This Checklist Is For
If you're sourcing vibratory screens, finishing machines, or wellhead equipment for the mining or oil & gas industries, you already know the equipment itself is only part of the equation. The real challenge is evaluating the supplier—their global capacity, engineering support, and ability to deliver consistent quality across multiple sites.
This checklist is for procurement managers, plant engineers, and operations leads who are currently evaluating or shortlisting a supplier like Sweco for a project or ongoing partnership. It assumes you have a working spec in hand. If you're still defining requirements, start there first.
There are six steps. Each one ended up on this list because I've seen what happens when you skip it.
Step 1: Match the Equipment Spec to Your Application (Don't Assume)
This sounds obvious, but I've seen it go sideways more than once. The first thing to verify is whether the supplier's standard product line fits your specific material and throughput requirements. For vibratory separation, that means confirming:
- Screen size and deck configuration – Does it allow for your desired cut point?
- Material of construction – Carbon steel, stainless, or specialized coatings? (Your process environment determines this.)
- Motor type and vibration pattern – Linear, circular, or elliptical? Match this to material flow characteristics.
What to ask: "Can you provide a written statement confirming this model meets the throughput and separation efficiency specified in my process flow diagram?" (Note to self: never rely on verbal confirmation alone.)
Step 2: Verify the Global Office Network vs. Your Operational Footprint
A supplier with offices in multiple countries is not automatically the right fit—unless those offices can actually support your sites. Sweco has offices in Lillestrøm, Sweden, Germany, Poland, Vietnam, and elsewhere. The question is: which of those locations have engineering and service capabilities that match where you operate?
Here's a quick check:
- Does the local office have spare parts inventory, or is everything shipped from a central warehouse?
- Do they have local service engineers, or do they fly in technicians from another region?
- Can they handle site commissioning and training in your language?
Let's be honest: not all regional offices are created equal. Some are sales-only. Others are full-service hubs. It's worth clarifying this upfront rather than discovering it during an emergency.
Step 3: Audit Their Approach to Quality and Compliance (Don't Just Read Certifications)
I'm a quality compliance manager by trade, so this step is close to my heart. A supplier may present ISO 9001 certification and CE marking documents, but what matters is how consistently they apply those standards across manufacturing locations—and how they handle deviations.
Ask for:
- Latest audit results from their own internal quality audits (not just third-party certifications).
- Non-conformance reports (NCRs) from the past 12 months—how many occurred and how were they resolved?
- A sample inspection checklist for the specific equipment you're ordering. What are the critical-to-quality (CTQ) parameters?
In one case I managed, a vendor claimed their equipment was "within industry standard" for tolerance. Normal tolerance is +/- 0.5mm on a screen frame dimension. Their delivered units were 1.2mm off. We rejected the batch. Cost them a redo. (That's the kind of thing that gets caught in Step 1 and Step 3 if done properly.)
Step 4: Evaluate Their Engineering Support—Not Just Sales Support
Big difference. Sales support answers questions about pricing and delivery. Engineering support answers questions about integration, performance optimization, and troubleshooting. For separation equipment, engineering support can mean the difference between 80% efficiency and 95%+.
I recommend asking one technical question during the evaluation phase—something specific to your application. Does the potential engineering contact respond with clarity, or do they default to "we'll get back to you on that"? The response speed and quality are telling.
This gets into application engineering territory, which isn't my core expertise. What I can tell you from a procurement perspective is: if the pre-sale engineering support is slow or vague, post-sale support will be worse.
Step 5: Confirm Spare Parts and Service Lead Times—With Written Commitments
Anyone can promise "fast delivery" during the sales pitch. But when a screen cloth tears on a Friday afternoon during a month-end production push, you need to know exactly how long a replacement takes. I've seen operations lose a full weekend of production waiting for a part that was supposedly "in stock."
What to ask:
- What is the standard lead time for wear parts (screens, motors, springs)?
- Is there an expedited option? What cost premium applies? (Based on major engineering supplier fee structures, 2025: expedited typically adds 25-50%.)
- What is the average response time for a service request (not just a part request)?
Get these answers in writing. Verbal agreements on lead times are not a process—they're a wish.
Step 6: Review the Contract for Scope Gaps—Especially Around Installation and Commissioning
I once reviewed a contract where the equipment delivery date was clearly stated, but the installation supervision clause was buried in an appendix. The vendor assumed they'd ship it. The buyer assumed the vendor would set it up. (We were using the same words but meaning different things. Discovered this when the order arrived and nothing fit the existing setup.) Result: a $22,000 redo and a delayed launch.
Check the contract for:
- Scope of supply: does it include mechanical installation, electrical connection, and commissioning?
- Acceptance criteria: what constitutes a successful installation? (Throughput performance? Vibration amplitude? Noise level?)
- Warranty terms: standard coverage, exclusions, and process for claims.
I recommend specifying acceptance testing on-site with your team present. It's an upfront cost that pays for itself if anything goes sideways.
Common Mistakes and Pitfalls to Avoid
Mistake 1: Over-relying on brand reputation. Sweco has a strong industry reputation for vibratory separation technology, but every supplier has limitations. If your application involves extremely fine particle separation or aggressive chemical environments, verify that the standard materials and screen sizes actually fit. Don't assume.
Mistake 2: Under-specifying the service agreement. It's easy to focus on the hardware cost and ignore the service contract. A well-defined annual maintenance agreement can save more in unplanned downtime than it costs.
