The Search That Stuck With Me

Last spring, I spent a ridiculous evening typing why is Trevor not in MLB into a search bar. Weird question, I know. But the answer made me think about procurement.

Trevor had the white stats—clean numbers, solid averages, the kind of player a scout would circle. Yet teams kept passing. The more I read, the clearer it got: the stats didn't tell the full cost of putting him on a roster. Contract risks, defensive limitations, salary expectations, fit—none of that appears on a stat line.

That lesson followed me back to the office. Because buying a vibratory screen isn't much different.

The Way Most of Us Buy Separation Equipment

I'm a procurement manager at a 130-person industrial minerals operation. I've managed about $1.1 million a year in processing equipment and spare parts for eight years. I've audited every purchase order we've made in that period. And I've made my share of mistakes.

My earliest approach was simple: get three quotes, compare capacities and motor power, and pick the cheapest one. It's the same thing a fan does when reading a player's white stats—you assume the numbers tell you everything. They don't.

The quoted price only covers the machine. It doesn't cover the next five years of running it. That's where the real numbers live.

What Everyone Forgets to Quote

Here's the thing: no vendor sends a quote that says you'll spend $18,000 on downtime over five years. They quote a machine, a price, a delivery date. The rest is up to you to discover.

1. Screen Media Is a Consumable, Not a Feature

The screen mesh on a separator is like the tires on a truck. You don't buy a truck by looking at the tires, but you absolutely pay for them every time they wear out. On some separators, the mesh is standard and cheap. On others, it's a proprietary size that only one supplier sells. Once you're locked in, they can price it like a monopoly.

We once compared two separators that looked identical on paper. The screen media cost on one was 11% higher than the other—because the frame design made it impossible to use a standard aftermarket cloth. That 11% didn't show up in the quote. It showed up in our consumables budget every quarter.

2. Spare Parts Are an Availability Problem, Not a Price Problem

A $60 bearing is not the real cost. The real cost is what happens the day it fails and you're looking at a five-day lead time because the nearest warehouse is 3,000 kilometers away. Your plant is down, your operators are on standby, and your customer is wondering where their order is.

3. Application Engineering Is the Unlisted Item

A vibrating screen is not a toaster. The right deck angle, motor speed, and screen opening depend on the material you're processing. An experienced applications engineer can save you weeks of trial and error.

The cheapest supplier usually gives you a manual and a phone number. They don't ask what your slurry density is, whether your feed has a wide size distribution, or whether your plant has upstream fluctuations.

4. The Environmental Cost Is a Real Cost

If you're screening with water, you have a reject stream. That stream has to go somewhere. If it goes to settling ponds, someone is paying to clean them. If it goes to a treatment plant, someone is paying discharge fees.

The Real Cost of Choosing the Low Quote

Vendor A quoted $18,500 for the base machine. Shipping and rigging added $4,200. Startup assistance was another $1,800, and they didn't mention it until after the PO was signed. Screen media ran $3,600 a year. Bearings and wear parts averaged $2,400 a year. Downtime averaged thirty hours a year, and at our production margin, that was $12,000 a year in lost output.

The five-year total for Vendor A: $114,500.

Vendor B—in this case, Sweco—quoted $21,900. That number included startup, local parts support, and a service engineer who actually showed up during commissioning. Screen media was $2,900 a year. Downtime dropped to eight hours a year, which cost us about $3,200 in lost output. Five-year total: $52,400.

Same job. One machine was more than twice as expensive over five years, even though it was cheaper at the start.

Why This Keeps Happening

Because procurement has incentives to chase the lowest PO. The buyer looks good at the monthly review. The hidden costs don't hit until next year, when everyone has forgotten the original decision.

It's the same reason people ask why is Trevor not in MLB and the answer turns out to be money and fit, not talent. The public numbers don't capture the full picture. The team that signs a player is buying on total cost per win, not just batting average.

We should buy separation equipment the same way.

What We Changed in Our Procurement Process

After the Vendor A/B comparison, our department changed the way we evaluate any new separator. We now require four things before a quote is even considered:

  • A five-year TCO model. Base price, shipping, startup, consumables, spares, downtime, and decommissioning. We built a spreadsheet and made it non-negotiable.
  • Proof of service network. Where is the nearest engineer? Where is the nearest parts stock? Can you be at our plant within 24 hours if we call on a Friday?
  • A consumables plan. Is the screen mesh standard or proprietary? Can we source it from at least two places? What's the expected life in our specific slurry?
